48.What are the precautions when reading ancient books?

Administrative regulations on ancient books reading

Reading services

  • The special collections in our library are open to the faculty and graduate students of the university. Non-affiliates can also read the literature in the Research Institute of Special Collections with reference letters from their units and the approval by the leaders of the library.
  • Please observe rules and regulations, be cooperative with the library staff and keep in order when reading special collections.
  • To enter the Special Collections Reading Room, you should first put the university ID card on the card reader for authentication. To access special collections, you should search for the items in the book catalogue first, and then make a request to the staff. The staff will provide the books or periodicals according to your request. After getting the books or periodicals, you need to make a registration. When finishing reading, return them all and do not leave until the books are examined by the staff.
  • Rare books with reprinted, photocopied or duplicated copies will not be provided with the original edition for readers in order to protect them, except for edition researchers.
  • When reading special collections, you should be careful with them. Folding and writing on them are not permitted, and using pencils instead of pens is suggested when you transcribe them.

Copying services

  • 1. Copying range
    • In principle, the library does not provide copying services for ancient books and special collections. For special needs of teaching and scientific research, the library will determine whether or not to provide copying services based on the conditions of the specific books;
    • Copying the literature in the Research Institute of Special Collections requires a commitment to assure that the copy is not used for publication; if it is used for publication, you should negotiate with the library and sign relevant agreements.

    2. Copying methods:

    • Generally each reader is allowed to copy no more than one-third of each book (5 leaves at most (two pages/leaf; one side/page) for rare editions, rubbings, paintings and calligraphy, manuscripts, etc.). It will be charged based on “leaf” (for thread-bound ancient books, it is one right-hand page plus one left-hand page as one leaf; considering there is only one page number written in the middle of the book in Chinese characters, one leaf is equivalent to two pages of ordinary books). In special cases, if it exceeds the above quota, extra 50% of the data fee will be charged;
    • Literature collected in the Research Institute of Special Collections can only be photographed (without flash) or scanned by cold light.
    • For literature that can be scanned and printed, only printouts are provided but the electronic version is not available.

    3. Master copy fee charge standard:

    • Generally, the library does not charge readers of the university the master copy fee.The master copy fee for other readers is charged according to the following standards:
    • For editions prior to Ming Jiajing Reign (1521-1566), the fee for each leaf is 12-40 yuan.
    • For other special collections (except rubbings, paintings and calligraphy) in the Rare Editions Room, the fee for each leaf is 6 yuan.
    • For ordinary thread-bound ancient books, newspapers and periodicals before the founding of People's Republic of China, the fee for each leaf is 3 yuan.
    • For other special collections, the fee for each two pages is 0.5 yuan.
49.Do graduate and doctoral students have to submit their theses/dissertations to the library when they graduate?

In order to better preserve and utilize the master theses and doctoral dissertations in our university and make them serve teaching and scientific research demands, it has been jointly decided by the graduate school and the library that all those who have passed the oral defense of their theses/dissertations and applied for master's/doctoral degrees in our university should submit a printed version to the designated department of the library for collection since 2004. Besides, it is also necessary to login the library homepage to enter the system and submit the electronic version of the theses/dissertations online.

The electronic versions of academic theses/dissertations collected by the library are only used for resource preservation and teaching research. Only the first 16 pages are published for each general article and the articles with secret information are not available online. The library has never leaked the full text of the electronic version to any company.

Master's and doctoral degrees candidates in all colleges, departments, institutes, and centers may submit their theses/dissertations after they pass the oral defense. The electronic version of the thesis/dissertation should be submitted online as far as possible. If there are special reasons for the failure of online submission, the thesis/dissertation records (CD or floppy disk) saved in accordance with the written requirements should be sent to the relevant personnel of the library.

50.How do I know if my thesis/dissertation submitted to the library has been approved?

Paper submission state inquiry
 After the thesis/dissertation has been submitted for 2 working days, it has generally been reviewed. There are two ways to know the review state:

  • Inquire through e-mail. For the submitted thesis/dissertation, the staff will review it as soon as possible. No matter whether it passes, the system will automatically send review comments to the e-mail address provided when submitting the thesis/dissertation through the system's shared mailbox (sdulib@163.com). Please check the e-mail in time.
  • Inquire directly through the submitting page. After entering the theses or dissertations submission page, enter the student number and the password you set at the time of submission and then click "Dissertation Query Login".

If your thesis or dissertation is not qualified, please revise it in time, otherwise the library will not go through the formalities of leaving the university. If you have to modify your thesis or dissertation, you can enter the submission page first, input the student number and the password set before submission, click "Dissertation Query Login", and then retrieve the submitted paper. You can modify the parts that do not meet the requirements directly, and click the "Save" button after all the modifications have been done.
